About the role

The Graduate Scholars Support Officer, Candidacy, provides high quality administrative support and guidance to VU graduate scholars and their supervisors to ensure efficient service delivery with a focus on processes, lines guidelines, policies and procedures relating to the management of applications. Working closely with the Application Coordinator, you will be primarily responsible for several key administrative functions including responding to inquiries, registrations, presenting application stages, examinations and credentials.

About the person

The successful candidate will have previous experience in a busy office environment, work collaboratively with others, be able to adapt to a changing work environment and possess exceptional organizational skills including problem-solving ability and ability to prioritize effectively.

Ideally, you will also have:

  • Well-developed oral and written communication skills and the ability to work effectively with people at all levels of the organization
  • Ability to interpret policies and procedures and communicate them to a wide range of internal/external stakeholders in an academic environment to achieve job objectives
  • Knowledge and experience of issues associated with research in an academic environment, preferably those specific to the higher degree by research students
  • Proficiency with computers and various software packages including Microsoft Access, Excel and Word, email, internet and student management systems: Student One and Research Master

Functions

An example of tasks you might perform will include:

  • Provide high-quality administrative support and guidance to ensure the smooth running of day-to-day operations within the Office of Researcher Training, Quality and Integrity: Candidacy Team
  • Attention to detail to ensure documentation for internal and external stakeholders is accurate and complete using a range of software and interfaces.
  • The ability to maintain confidentiality and recognize sensitive issues.
